What we collect and why
Google sign-in provides your verified email and account identifier. We store your account preferences, consent dates, contact connections, questions, answers and relevant email excerpts to provide the question-and-answer service. We store an encrypted Gmail refresh token and your encrypted AI API key so your chosen AI can answer questions without repeated setup. Usage counters prevent abuse.
Gmail access and AI processing
Gmail access is read-only: we do not send, edit or delete your email. We search message bodies for your questions, or questions from accepted contacts when you explicitly enable requests. Attachments are not searched. Relevant excerpts and the question are transmitted to the AI provider you select: OpenAI, Anthropic or Google Gemini, using your own API account. The provider processes these under its API terms; API usage may incur charges to you.
Use only an API account with general-model training and optional data-sharing disabled. Gemini requires a billing-enabled project under its paid-services data terms. Do not use free Gemini API accounts for Gmail context. Concloud cannot inspect your provider's account settings; you must confirm these settings before saving your key.
Concloud's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google Workspace data to develop, improve or train generalized AI or machine-learning models. We do not sell personal data or use email content for advertising.
Who receives information
Google Cloud hosts and processes service data in the United States. Your selected AI provider receives only the context required for an answer, not your entire mailbox. Your contact sees their question's status and only the answer you explicitly approve; drafts, source excerpts and your API key are not shared with them. They can retain a copy of an answer after you share it. Operational access is limited to providing support with your consent, security and legal obligations; normal operation does not require a person to read your email.
Retention and deletion
Questions, answers and stored excerpts expire after 30 days and are hidden immediately on expiry. Database cleanup follows asynchronously. Usage counters expire after two days. Your account, connections and encrypted credentials remain until you remove them or delete your account. We do not continuously index or copy your whole mailbox.
Settings lets you disconnect Gmail, remove an AI key, export your visible data, block contacts, delete a question, or delete your account. Deleting a question removes its stored answer and excerpts for both participants. Account deletion removes credentials, connections, questions involving you and your sign-in account. A minimal deletion marker (account identifier, no email content or keys) is retained for up to 30 days to prevent in-flight work from recreating data. Original Gmail messages are untouched. Exports and answers already copied by another person cannot be recalled.
Cloud operational logs may contain request metadata such as IP addresses, timestamps and status codes; application logs do not intentionally include message bodies or credentials. Cloud platform log retention and any legally required retention may continue after account deletion. Your AI provider may separately retain submitted data under its terms. Disconnecting Concloud does not delete records held by that provider. You can also revoke access from Google account connections.
Your choices and security
Gmail and AI setup are optional and separate from account creation. Contact searches are off until you enable them. Sharing requires approval of each answer. Saved sensitive record contents use application-level encryption and access is checked on the server. No service can guarantee absolute security. Do not submit passwords, authentication codes or information you are not authorized to process.

This early-access service is for adults 18 and over and is not intended for children. Material policy changes will be presented for acknowledgement in the app.
